晋煤集团办公自动化系统的设计与实现

【摘要】:“晋煤集团办公自动化系统”简称为办公自动化系统,其英文简称为OA系统。本系统秉承“办公自动化”的理念,公文管理为“主”,公告、通知、公示为“辅”,形成协同多人、多部门、多组织协同办公,极大地提高组织响应速度,使企业的资源充分融合,吐故纳新,始终充满活力的新形象以适应多变的外部环境。 我集团公司自2003年大力建设信息化办以来,办公自动化系统是其中最重要的一部分。办公自动化是采用互联网技术、通信技术和工作流技术,利用现代化计算机设备,采集大量信息并进行整理、分析、挖掘,最后进行智能处理,存储后便于集团内部员工查询统计、资源共享,大大提升了协同办公能力,,提高了行政效率,并为我集团公司现代化、信息化管理提供辅助决策依据,这种方式极大地改变了传统而低效手工办公。办公自动化系统的使用,不仅改善了我集团公司的办公环境,也大大地提高了办公效率,规范了办公流程和审批环节,降低了办公成本,节约了企业资源。查询、统计和归档不再是繁重重复的、例行公事的操作,而是简单的鼠标轻轻一点,快速且高效。办公自动化提高了我集团公司的信息化管理水平,集团的现代化发展建设也离不开办公自动化的使用,因此,企业为提高现代化管理水平,大力发展办公自动化是其中的一个重要手段。 该系统采用服务器集群的部署方式,采用Lotus Domino系统架构,Lotus DominoDesignor平台开发,后台采用文档型数据库,前台基于B/S结构开发,用户只需通过Internet Explorer(IE)6.0及以上版本登陆系统进行访问。 该系统功能模块大体分为公文管理、行政办公、综合事务、个人办公、系统管理五个核心部分。其中公文管理包括收文管理和发文管理,行政办公包括会议预告和电子公告,综合事务包括项目管理,个人办公包括密码修改和个人信息,系统管理包括用户组织和部门设置,另外,由于实际工作需要,集成了第三方的电子签章系统的接口应用,提升了系统中文档的安全保密性和不可抵赖性。 我集团公司试运行0A系统后,真正做到无纸化办公,仅办公经费一项,每年预计可节约管理费用近百万元。日常往来平行公文,上下行公文可通过以发送,既提高了传递速度,又节省了复印纸张。改变了以前以文档形式存档的方式,一律在网上进行电子存档,节省了经费,提高了使用效率,方便员工查询。在过去,为了提高合同审查的效率,往往一个合同同时复制一打,有些合同达到近100页,造成了极大的浪费,系统的实施后,你可以上传的合同网络版,实现审批高效流转,提高了办公效率、降低了办公费用实现了双赢[12]。

The office automation system use, not only has improved our group company office environment, It also greatly improves office efficiency, standardizes office processes and approval links, reduces office costs and saves enterprise resources. Enquiries, statistics and archiving are no longer onerous and repetitive, routine operations. The office automation has improved the information management level of our group company, and the modernization development of the group can not be separated from the use of office automation. In order to improve the level of modern management, the development of office automation is one of the important means. The system adopts server cluster deployment mode, uses Lotus Domino system architecture to develop Lotus DominoDesignor platform, uses document database in the background, and develops foreground based on B / S structure. Users only need to access the login system through Internet Explorer(IE)6.0 and above. The function module of the system is divided into five core parts: document management, administrative office, comprehensive affairs, personal office and system management. Comprehensive affairs include project management, personal office includes password modification and personal information, system management includes user organization and department setup, in addition, due to practical work needs, the interface application of third party electronic signature system is integrated. It improves the security confidentiality and non-repudiation of documents in the system. After the trial operation of 0A system in our group company, we really do paperless office work, only one item of office expenses. It is estimated that every year we can save nearly millions of yuan in administrative expenses. The daily exchange of parallel official documents, up and down documents can be sent by way of sending. It not only improves the speed of transmission, but also saves photocopying paper. It has changed the way of archiving files in the form of documents, all of them have been archived electronically on the Internet, thus saving money, improving the efficiency of use, and making it convenient for employees to inquire. In order to improve the efficiency of contract review, often a contract is copied at the same time, and some contracts reach nearly 100 pages, causing great waste. After the implementation of the system, you can upload the online version of the contract to realize the efficient circulation of approval and approval. Improved office efficiency, reduced office costs to achieve a win-win [12].
